CURRENT STRUGGLES
- Not utilizing their current tech stack in the way that they should
- Automation isn’t working (can’t get it to work) so the team has to all do little parts and pieces of the processes, manually and this is having her make sure there’s not a lot of unnecessary redundancies in the work
- Everyone has to remember what their parts are and it’s been hard for them to keep up with who does what
- They have a checklist but no one knows where they’re at in the checklist
- Hiring
- Hired someone late last year and it didn’t work out that they looked like they were a good fit but just weren’t what they said they’d be
- Need to hire someone now
- Bunch of candidates on Indeed and kinda narrowing it down
- She feels she sucks at the interviewing because she feels like she’s not asking the right questions and even follow up to those questions. Has a hard time recognizing if someone is being forthcoming (feels like she can’t tell if their not a long term fit)
- Feeling like it was easier when it was just Michele and one other accountant in office but as they’re growing and going virtual, it makes things a bit more complicated
- Bringing on another virtual accountant and wondering how she’s gonna get this person to make sure their communicating properly with the internal staff, doing the actual workflow (really worried about this)
- Bookkeeping - doesn’t need much help because Asana really helps (KOWA helped a lot with this)
- Always having to ask “what does this person need access to?” then go share it and it takes too long (needs to be faster)
- All the tax work is stuck on Michele’s plate
- Doesn’t have training modules set up like us but she wants to get there and hopes to have it mostly ready by the summer time
- Gave new person on team places to go to learn how to do what and that they’re going to be competent - she needs someone willing to jump in and do the hard work right now to learn
- Someone who will jump in feet first, learn on the go and it won’t be an easy process
TECH STACK
- Notion:
- Tracking the current clients (sorta)
- Struggling with getting everybody on it because lack of team sharing not being set up properly
- Asana:
- Not used for tax work (considering switching to Asana for everything if once I’m there I see it would make more sense)
- Bookkeeping
- Qount:
- Problem does have a PM system, it’s just not as great as what she’s seen from Asana
- Lack of resources to lean on for use
- They use it specifically for the tax planning aspect and client portal (they can upload documents and the clients can easily access the documents from there)
