PRE RETREAT

  1. Determine when we will be hosting the future retreat
  2. Duplicate the Google Drive folder for retreats: click here
    1. Make sure that all forms are duplicated directly from Google Drive and added to the appropriate folder (all Google Forms do not copy over form downloaded and uploaded Google Drive folders)
    2. Make sure all Google Forms have a spreadsheet created for responses to the form
    3. Make sure to convert all Excel Spreadsheets to Google Sheets and delete all old Excel Spreadsheets

STUDENT GROUP COACHING CALLS

Our intention is to schedule calls for 5 weeks (1 a week) prior to the retreat so we can gear them up for what to expect, location of the event and give them homework so they can be ready to execute.

Call info:

Each group meeting is held via Zoom and is recorded so we can share it with everyone after we complete the Zoom. Make sure to download and save all recordings to share with students:

DOWNLOADING AND POSTING CALL RECORDINGS

  1. Download the Zoom recording for the call (use How to download Zoom videos SOP)
    1. Save to the 'Video Recording' folder in the appropriate retreats folder
    2. Naming convention: 0000.00.00 Retreat Group Call #
  2. Make note of what was covered in the meeting and the homework that was assigned to them during the call (this is more of an internal note for yourself because when we post the recording in the group, we do a recap of what's covered)
  3. Put together a FB post in the retreat Facebook Group to cover the following (use Retreat Emails & Posts for template):
    1. Call #
    2. Things discussed - high level since they can watch the video for the specifics
    3. Homework assign - specifics with links to resources (if any)
    4. Important notes (if any)
    5. Link to Google Drive with recording
